As we scale our operations, we are seeking a detail-oriented and highly organized Virtual Assistant to support our job placement and client care operations. This role is ideal for someone who understands the intricacies of global mobility and employment services, particularly within the UK labour market.

Role Overview

The Virtual Assistant will be responsible for end-to-end job application management on behalf of our clients, maintaining active communication with both clients and partner agencies, managing documentation related to employment and relocation, and ensuring smooth coordination of timelines and expectations.

This role requires someone with proven experience applying to jobs on behalf of clients or candidates, a strong understanding of the UK job market and labour regulations, and working knowledge of UKVI immigration procedures, particularly related to employment-based relocation.

Key Responsibilities

  • Conduct tailored job searches and submit high-quality applications on behalf of clients using approved documentation.

  • Manage a portfolio of active clients, ensuring consistent and professional communication regarding job opportunities, timelines, and application updates.

  • Track and organize all job applications submitted per client, including follow-up actions and employer responses.

  • Coordinate with partner agencies and employers to facilitate smooth application and onboarding processes.

  • Sort, prepare, and manage client documentation related to work permit applications and employment contracts.

  • Provide clients with realistic timelines and regular progress reports regarding their job search and work permit process.

  • Stay updated on UK labour market trends, in-demand job sectors, and UKVI immigration policies relevant to employment.

  • Assist with internal reporting and contribute to ongoing process improvements.

Requirements

  • Proven experience in job search support or virtual recruitment assistance, specifically applying for jobs using platforms such as Indeed, LinkedIn, Reed UK, etc

  • Strong knowledge of the UK employment market, including labour trends, hiring practices, and employer expectations.

  • Familiarity with UKVI immigration policies and employment-based relocation procedures.

  • Excellent written and verbal communication skills in English.

  • Strong administrative, time management, and organizational abilities.

  • Comfortable working independently and managing multiple client portfolios.

  • Proficiency with Google Workspace, Excel, Trello (or similar task management tools), and cloud-based filing systems.

Preferred Qualifications

  • Experience working with international recruitment or immigration agencies.

  • Background in employment-based immigration processes or relocation support.

  • Customer service or client relations background is a plus.
