We are seeking a highly capable and experienced Executive Assistant (EA) to provide seamless and proactive support to our Principal and Chief of Staff, working across the Elijah J Ventures (EJV) portfolio of companies, including Pam the Recruiter. This is a fully remote role requiring a reliable, adaptable, and detail-oriented individual who can manage both high-level executive support and operational coordination in a dynamic, fast-moving environment. The ideal candidate will be comfortable working at pace, confident in handling sensitive information, and experienced in supporting senior leaders. You will be a key partner in helping the leadership team stay organized, informed, and on track across multiple ventures.
Executive Support
Manage complex and ever-changing calendars across time zones for both the Principal and Chief of Staff, ensuring scheduling is strategic and efficient
Organize and coordinate virtual meetings, including preparing agendas, gathering materials, taking notes, and tracking action items
Act as a professional liaison on behalf of the leadership team, handling internal and external communications with discretion and clarity
Provide inbox management support, including triaging messages, drafting replies, and ensuring timely follow-ups
Coordinate remote logistics for leadership meetings, board sessions, investor calls, and other high-level discussions
Operational & Business Support
Support the Chief of Staff in operational execution across the portfolio, including project tracking, internal reporting, and light process management
Maintain and optimize digital workspaces (e.g., Google Drive, ClickUp) for efficiency and clarity across teams
Collaborate with internal stakeholders to ensure deliverables and deadlines are met across key projects
Assist with recruitment coordination (e.g., scheduling interviews, managing candidate flow) when needed
Prepare briefing documents, reports, and presentation materials for meetings and strategic planning sessions
Administrative & Ad Hoc Support
Manage travel booking (where applicable), virtual event coordination, and online expense tracking
Keep internal files and contact records updated, accessible, and well-organized
Provide administrative support on special projects and initiatives as assigned by the Principal or Chief of Staff
Maintain the highest level of confidentiality when handling sensitive business and personal matters
Minimum 3–5 years’ experience as an Executive Assistant, Business Support Specialist, or similar, ideally supporting C-suite or founder-level executives
Prior experience working in remote-first companies, startups, or portfolio-based businesses is highly desirable
Demonstrated expertise in managing virtual calendars, inboxes, documents, and stakeholder communications
Strong technical proficiency across Google Workspace, project management tools (preferably ClickUp), and communication platforms (Zoom, Slack, etc.)
Excellent written and verbal communication, with strong emotional intelligence and a professional tone
Proactive, resourceful, and able to anticipate needs without constant direction
Highly organized with outstanding attention to detail and ability to multitask effectively
Familiarity with property management, venture studio models, or recruitment services
Experience in a hybrid EA/business operations role supporting founders or senior leadership
Interest in startups, innovation, and high-growth environments
