We’re now looking for a thoughtful and highly organised Project & People Operations Coordinator to help us run our team more effectively across both people and project workflows. This is a great opportunity for someone who enjoys building structure, supporting others, and keeping fast-moving teams on track.

About the Role

This part-time role blends HR, project management, and team coordination. You will play a key role in making sure our creative, technical, and marketing teams stay aligned -while also setting up healthy processes for hiring, onboarding, reviews, and offboarding. You will report to the CEO and work closely with team leads across marketing, development, and support.

What You will Be Doing

  • People Operations

  • Maintain accurate records for contracts, onboarding, probation, and offboarding

  • Coordinate HR-related processes such as dismissals or grievances with professionalism and discretion

  • Support line managers in handling sensitive issues fairly and legally

  • Ensure our freelance and volunteer contributors are documented and supported

  • Project Coordination

  • Track team deliverables across multiple workstreams (Development,Marketing, PPC, Sales, Support and UX)

  • Help build calm, realistic timelines and align cross-functional contributors

  • Take ownership of recurring reports (e.g., monthly updates from each team to the CEO)

Systems & Admin

  • Help document and improve internal policies (e.g., remote working, wellbeing, contracts)

  • Coordinate communications between departments to prevent silos and confusion

  • Support the CEO with light admin and recruitment tasks (e.g., filtering CVs, tracking trials)

What We’re Looking For

Experience

  • 3–5 years in an HR, project coordination, team administration, or operations support role

  • Experience working in international, remote, or start-up teams is a strong advantage

  • Bonus: Familiarity with freelancer and contractor management

Skills & Tools

  • Excellent written and verbal English (C2 level or native English speaker)

  • Highly organised and comfortable juggling many moving parts

  • Able to identify people issues early and handle them with diplomacy

  • Familiar with Google Workspace, and task/project boards (ClickUp, Notion, etc.)

  • Bonus: Experience with payroll/HR tools such as Deel, Gusto, or Remote

Personal Qualities

  • Empathetic and fair -but able to hold boundaries and enforce processes

  • Proactive, calm, and self-managing

  • Committed to ethical systems and team wellbeing

  • Comfortable working with strong personalities -without becoming one

Why Join Us?

  • You will be building essential systems in a team that truly needs you.

  • Your voice will matter; this is not a tick-box role.

  • Opportunity to grow with us -if you help us run better, we will grow together.
