About the Position

We are seeking an exceptionally organized and detail-oriented Executive Assistant (Calendar & Scheduling Specialist) to manage complex calendars, coordinate senior-level meetings, plan travel, and ensure seamless alignment of executive activities. This role is pivotal in maintaining efficiency and prioritization across a dynamic executive schedule. You will work closely with senior leadership, demonstrating professionalism, discretion, and a proactive approach to calendar ownership and scheduling logistics.Key

Responsibility

  • Manage and own complex, high-volume calendars for CXOs, ensuring optimal alignment with business priorities.

  • Coordinate scheduling for internal and external stakeholders, including senior leaders, clients, and partners.

  • Strategically plan meeting cadences, buffer times, and travel logistics to maximize executive productivity.

  • Organize event planning, offsite meetings, and executive travel arrangements.

  • Anticipate scheduling conflicts and proactively offer solutions to maintain workflow efficiency.

  • Regularly review and adjust recurring meetings and events to reflect changing business needs.

  • Collaborate with cross-functional teams to support executive priorities and key deliverables.

  • Maintain absolute discretion and confidentiality regarding sensitive business matters.

Required Qualifications and Skills

  • 7+ years of experience supporting CXOs in a high-paced environment.

  • Proven expertise in complex calendar management and executive scheduling.

  • Experience coordinating travel logistics, event planning, and meeting preparation.

  • Advanced proficiency in Google Calendar, G Suite tools.

  • Exceptional organizational skills with an ability to manage shifting priorities seamlessly.

  • Excellent communication skills (verbal and written) with a polished, professional demeanor.

  • Ability to anticipate needs, think critically, and offer proactive solutions.

  • Comfortable working across time zones and managing global scheduling.

  • Bachelor's degree.
