Talent & Operations Coordinator

Location: Remote from Latin America Reports to: Co-Founder & COO Employment Type: Full-Time

Salary: $2000-$2500 per month based on experience (paid weekly)

Schedule: Monday to Friday - 9am to 5:30pm Eastern Time US

Position Overview:

We are seeking a proactive, detail-oriented Talent & Operations Coordinator to join our client´s fast-growing construction company. This role combines human resources expertise with executive-level administrative support. The ideal candidate will play a critical role in shaping the employee experience from day one—leading onboarding processes, managing company tools and systems (especially G-Suite), coordinating with recruiting partners, and handling high-priority administrative and travel logistics for the Co-Founder & COO.

Key Responsibilities:

1. Onboarding & HR Operations

  • Own the end-to-end onboarding process for all new hires across departments and job sites.

  • Set up and manage user accounts, access permissions, and workflows across company tools (e.g., G-Suite, Slack, project management tools, and time-tracking systems).

  • Maintain onboarding documentation, checklists, and internal SOPs.

  • Ensure compliance with internal HR policies and local labor laws.

  • Support internal communications and employee engagement initiatives.

  • Support vendor recruiting efforts, manage vendor onboarding, and maintain compliance documentation ongoing operations

2. Systems & G-Suite Administration

  • Serve as the primary administrator for the company’s G-Suite (Google Workspace), including user management, permissions, and group email setups.

  • Troubleshoot access issues and coordinate with IT vendors when needed.

  • Maintain up-to-date records of logins, software subscriptions, and license renewals.

  • Identify opportunities to streamline digital workflows and improve tool usage.

  • Administer and troubleshoot core company systems such as RingCentral, internal platforms, and construction project tools

3. Recruiting Coordination

  • Liaise with external recruiting agencies and hiring managers to schedule interviews, manage candidate pipelines, and track open roles.

  • Post jobs on company platforms and assist with sourcing efforts when needed.

  • Facilitate candidate follow-ups and feedback loops.

  • Prepare offer letters, background checks, and onboarding packages.

4. Executive Assistant Support

  • Provide high-level administrative support to the Co-Founder & COO, including calendar management, internal coordination, and email triage.

  • Arrange domestic and occasional international travel, including flights, accommodations, and itineraries.

  • Take initiative on special projects, event planning, and company offsites.

  • Monitor and manage executive email accounts, draft and respond to messages when appropriate, and ensure timely follow-ups

  • Coordinate and optimize calendar scheduling across departments, vendors, and external partners

  • Prepare agendas, capture meeting notes, and track follow-ups or action items to ensure accountability post-meeting

5. Ad-Hoc & Special Projects

  • Support various administrative and operational projects as needed.

  • Jump in to assist with time-sensitive tasks that ensure smooth company operations.

  • Generate internal reports and summaries from project tracking systems, HR data, and vendor activity logs

  • Support basic company social media and LinkedIn presence by drafting and scheduling posts, updating profile content, and coordinating with marketing when needed

Qualifications:

  • 2–4 years of HR Generalist, People Ops, or Executive Assistant experience (ideally in a startup or construction/field services environment).

  • Strong working knowledge of G-Suite/Google Workspace administration.

  • Proven experience onboarding employees and managing tools access across systems.

  • Excellent organizational, written, and verbal communication skills.

  • High attention to detail and discretion in handling sensitive information.

  • Ability to thrive in a dynamic, fast-paced environment with minimal supervision.

  • Bonus: Familiarity with construction or field service operations and tools.
