Reports to: Executive Team & Senior Administrative Leads

Starting Rate: $760/month (with opportunity for growth)

This Administrative Assistant position is ideal for a motivated professional with solid administrative experience and a commitment to shadow, cross-train, and learn the unique aspects of the construction industry. You’ll build on your strong foundation of client support and coordination skills in a role that offers hands-on training and clear opportunities to grow into higher-level support and potential leadership responsibilities over time.

Key Responsibilities

In this role, you will:

  • Shadow and cross-train with senior administrative team members to learn company-specific systems, processes, and industry best practices.

  • Provide proactive calendar management support for key team members and project leads.

  • Assist in document preparation and beautification, ensuring all project files and proposals are accurate and professional.

  • Support project research and bidding/proposal tasks under the guidance of senior staff.

  • Help with document management, portal registrations, and data tracking.

  • Participate with subcontractor sourcing and vendor outreach, working closely with the procurement team.

  • Prepare agendas and materials for meetings, take notes, and track follow-ups.

  • Assist with social media posting and basic online engagement, as needed.

  • Support material ordering and coordination as directed.

  • Make and receive customer service calls (inbound and outbound) with professionalism and care.

What We’re Looking For

  • Proven administrative experience, with examples of supporting teams and clients effectively.

  • Strong communication skills — written and verbal — with excellent attention to detail.

  • A positive, flexible attitude and a willingness to learn and grow into new responsibilities.

  • Ability to manage tasks independently while following clear instructions and feedback.

  • Comfortable using standard office software (Google Workspace, Microsoft Office) and ready to learn new platforms.

  • Experience supporting clients or teams remotely is a plus.

  • Familiarity with construction or related industries is helpful but not required.
