As an Executive Assistant, you will work closely with the leadership team to manage day-to-day operations, coordinate activities, and ensure that tasks are completed efficiently. You will play a key role in managing schedules, communicating with stakeholders, and providing operational support that keeps our business moving forward. This role requires a highly organised individual with excellent communication skills, a strong sense of initiative, and the ability to handle multiple tasks in a dynamic work environment.
Provide administrative support to the leadership team, including managing calendars, scheduling meetings, and organising travel arrangements.
Act as a liaison between internal teams, clients, and external stakeholders to ensure smooth communication and coordination.
Assist in managing day-to-day operations by organising and prioritising tasks, ensuring deadlines are met.
Make sure all employees are tracking time in ClickUp and have tasks planned and scheduled for the upcoming week.
Ensure that all Customer Book records are kept up to date on a weekly basis by Project Managers and Project Specialists
Conduct research and write preparation notes for the leadership team.
Support project management by tracking progress on key initiatives and ensuring alignment with business goals.
Manage email correspondence and respond on behalf of leadership when required.
Identify opportunities to improve operational processes and implement solutions that enhance efficiency.
Provide ad hoc support as needed, ensuring the leadership team can focus on high-impact activities.
Proven experience as an Executive Assistant or in a similar administrative role, supporting senior leadership.
Excellent organisational and multitasking skills, with the ability to manage multiple priorities effectively.
Strong written and verbal communication skills, with the ability to interact professionally with internal and external stakeholders.
Proficiency in using productivity tools such as Google Workspace and project management software like ClickUp.
Ability to work independently, take initiative, and solve problems proactively.
Strong attention to detail, ensuring accuracy in all tasks and deliverables.
Experience in a fast-paced environment, ideally in an agency or start-up setting.
Comfortable with remote work and managing virtual communication tools.
