This is NOT a gig. This is a right-hand role.

Weekly Schedule — Graveyard Shift (PHT Time)

You’ll work full-time (40 hours/week) and overlap with Pacific Standard Time (PST). You must be available for prep time before Lisa’s day starts and wrap-up time after it ends. Here’s your breakdown:

  • 2:30 AM – 7:30 AM (Tuesday) 5 hrs

  • 1:00 AM – 11:30 AM (Wednesday) 10.5 hrs

  • 4:30 AM – 7:30 AM (Thursday) 3 hrs

  • 1:00 AM – 7:30 AM (Friday) 6.5 hrs

  • 1:00 AM – 11:30 AM (Saturday) 10.5 hrs

  • 3:00 AM – 7:30 AM (Sunday) 4.5 hrs

Fridays are always worked for consistency (even if I have no calls). Wednesdays are light: policy review support only.

What You’ll Own

Daily CRM & Lead Hygiene

  • Receive lead data, input into CRM, and send emails and texts

  • Organize and clean CRM like a data ninja

  • Input lead notes, follow-up reminders, & enrollment prep

  • Nothing gets lost. Nothing is vague. No half-done tasks.

Inbox + Calendar Management

  • Sort & flag Lisa’s inbox daily

  • Draft templated replies via email/text/phone AI & organize by urgency

  • Prep tomorrow’s calendar with notes, links, & lead info

Systems & SOPs

  • Start and end the day with a log

  • Document workflows as they evolve (you’ll help build systems too)

  • Track which leads came from which campaign

  • Assist in light project builds (I use Coda.io)

  • Consistently update knowledge base for Client Portal + Sona

Client Experience

  • Light client messages set up & engagement (e.g., check-ins, birthday messages)

  • Send follow-up reminders with care

  • Make every interaction feel white-glove, even via email

Requirements

  • Fluent English (written and spoken)

  • Expert-level attention to detail — surgical precision, not vibes-based

  • Solid tech stack confidence: Coda.io, OpenPhone

  • Strong internet + quiet environment

  • Can handle fast-moving days and calm ones with equal grace

  • Must be okay working graveyard shift (PH) long-term
